Business loan document checklist for Canada
Every document a Canadian commercial lender is likely to request, grouped the way credit files are actually assembled, with a plain explanation of why each item is asked for and what it is used to test. Tick items off as you gather them.
What documents do I need for a business loan in Canada?
Expect three years of financial statements, interim statements to the last month-end, corporate tax returns with notices of assessment, six to twelve months of bank statements, a complete debt schedule, AR and AP aging, a sources-and-uses statement, projections including a 13-week cash-flow forecast, collateral details, and corporate and identification documents. Individual lenders add or waive items.

What each document is used to test
Why the list looks the way it does
| Document | What the lender is testing | Common failure |
|---|---|---|
| Debt schedule | Total debt service, maturity concentration, security position | Omitted entirely, or leases left off |
| AR aging | Collateral quality, concentration, collection discipline | Summary only, with no customer detail |
| Interim statements | Whether the year-end trend has held | More than 90 days out of date |
| Sources and uses | Whether the amount requested is justified | Stated as 'working capital and growth' |
| 13-week cash flow | Near-term liquidity and covenant risk | Not prepared at all |
| CRA balances | Arrears that rank ahead of a lender's security | Disclosed late, after a search finds them |
Questions people ask
Documentation, answered directly
What documents are required for a business loan in Canada?+
Most commercial lenders request three years of financial statements, interim statements, corporate tax returns and notices of assessment, business bank statements, a full debt schedule, accounts receivable and payable aging, a sources-and-uses statement, projections, corporate and identification documents, and collateral information. Requirements vary by lender, facility type and deal size.
Which document is most often missing?+
A complete debt schedule. Most borrowers can produce statements but not a single table listing every facility with lender, balance, rate, payment, maturity and security. Without it an adjudicator cannot calculate debt service coverage, so the file stops until it arrives — usually costing one to two weeks.
Do I need audited financial statements?+
Not usually. Notice-to-reader statements are accepted for many small and mid-market facilities, with review engagements or audits requested as size, risk or covenant complexity increases. What matters more is that the statements are current, internally consistent and reconcile to the tax returns.
How current do financial statements need to be?+
Interim statements older than about 90 days are typically refreshed before credit approval, and year-ends more than a few months past due raise questions on their own. If your year-end is imminent, it is often better to wait for it than to submit on stale figures.
Why does a lender want my accounts receivable aging?+
It tests the quality of the asset that supports much of your working capital. The aging shows concentration by customer, balances past 90 days, and collection behaviour. A receivable base with one customer at 40% and 20% past 90 days supports far less than the balance sheet total suggests.
Does having every document guarantee approval?+
No. Complete documentation removes delay and avoidable questions; it does not change the underlying credit. What it reliably changes is speed, the number of information requests, and your negotiating position on price and structure.
